About Us

Founded in 1933 at the request of Albert Einstein, the IRC offers lifesaving care and life-changing assistance to refugees forced to flee from war or disaster. In 2016, IRC Germany was founded and is involved in the areas of education, economic wellbeing, and safety, legal protection, and empowerment throughout Germany.

Established in January 2016, the Awards Management Unit (AMU) is a global unit with staff based in Bonn, Berlin, New York, London, Bangkok and Amman. It has responsibility for identifying, securing, and managing all funding from statutory/government donors. The unit is organized into five pillars: Strategic Partnerships, Programme and Grant Support, Compliance and Policy, Programme Development, and Training. The AMU is a bridge between donors and the field: providing expert technical advice to the field, while maintaining portfolio-level visibility to ensure consistency and compliance and manage risk. This unit ensures that donor compliance policies and procedures are implemented consistently and supports all staff working across the grants management cycle for all restricted funding from global government sources. The unit operates within a matrix management system across teams in Germany, the US and the UK, driving functional integration between all relevant units and staff, in collaboration with the Senior Vice President AMU, Vice President, AMU, and the Senior Vice President for Europe in relation to overarching issues with European donors.

The Project Finance Assistant provide comprehensive support to the Project Finance Manager and contributes to the preparation of the financial information, analysis of financial data, participate in preparation of the project documentation, and support with administrative tasks related with projects funded through IRC DE and implemented by IRC’s country offices and non-IRC partners. The role is required to be proactive, engaged, and effective in providing ongoing support throughout the entire project life-continuum.


Major Responsibilities

  • Gathering information through communication with all relevant parties for the draft of training materials for training and in-person workshops.
  • Maintain daily communication with regional and country office colleagues on planning and scheduling of the mentioned above trainings and in-person workshops.
  • Contribute to regular updates and prepare information to share with Project Finance Manager for analysis of the financial performance of a project or portfolio.
  • Monthly gathering of the information necessary for manager to perform effective financial monitoring (incl. expenditure, match funding, cash balances, eligibility, existence and completeness of supporting documentation).
  • Bi-monthly updating of the financial information for keeping up-to-date funds management trackers of the projects funded through IRC DE.
  • Provides support to the Project Finance Manager in preparation of financial accounting and reporting information for further analysis by the Project Finance Manager.
  • Participation in creation and updating of the financial statements and related disclosures; as well as supporting on preparation of financial data for analysis and formulation of budgets and forecasts. 
  • Monthly preparation of accounting records for further review / proof (e.g. receipts, advances, expenditure) by Project Finance Manager.
  • Monthly gathering and preparation of financial information necessary for the project reconciliations.
  • Support Project Finance Manager in preparation of the submissions of financial information.  
  • First review and communication with all relevant parties regarding the contract reviews. 
  • Monthly verification of reporting from IRC DE implementing partners, preparation of partners reports for approval and clearance.
  • Provide administrative support to the Project Finance team, including scheduling meetings, preparing agendas, and taking minutes, etc.

Your Profile

  • Bachelor’s degree in Finance, Accounting, Economics, or a related field.
  • 1-2 years of experience in a finance or accounting role, preferably in project finance or a related area.
  • Experience with financial analysis and reporting is highly desirable.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Ability to operate in a cross-cultural environment.
  • A high level of resilience and flexibility.
  • English language skills at min. B2-level according to the Common European Framework of Reference for Languages (CERF). German and/or French language skills at min B1 level would be preferable. 
  • Experience of working in a global organization is highly desirable.
